You're Using AI All Wrong by Azhelle Wade | The Toy Coach

Industry Commentary, Op-Ed

Everyone’s been telling you that if you’re not using AI by now, you’ve fallen behind. So, like many, you’ve made the leap: you’ve downloaded the latest tools, encouraged your team to integrate AI, and maybe you’ve even invested in closed AI systems to protect originality and brand integrity. You were promised speed, creativity, and transformation. But instead of streamlined processes, you’re getting overloaded—more ideas, yes, but less focus, more revisions, and a far greater cost in time and resources than anticipated.

So, what’s going wrong?

Why is everyone else saving time while you and your team are drowning in a sea of AI ideas.

The problem is your approach.

AI isn’t an all-purpose seasoning that magically transforms a bland workflow into a gourmet feast of efficiency. It’s more like paprika—powerful when applied with precision, but overwhelming if added with reckless abandon. (Yes, I may be cooking dinner as I write this!) To unlock the full potential of AI, you need a recipe—I mean, a workflow—that works with your team, not against them.

The Common Pitfall: Deploying AI Without A Plan

While AI can enhance productivity, embedding it haphazardly into an existing workflow does the opposite. Without a clear framework, AI amplifies workload instead of reducing it. Imagine each team member using AI to generate their own set of ideas, only to overwhelm the team with drafts and suggestions that lack cohesion or alignment with brand strategy.

The pitfall here isn’t adopting AI; it’s failing to use it in a controlled way that serves the strategic vision of your business.

The Solution: An AI Enhanced Workflow

To achieve a genuinely productive AI-assisted process, AI must be incorporated with clear intent. After much trial and error of integrating AI into my own business, I’ve identified a five-step process to ensure that AI enhances my workflow and doesn’t clog it. How do I do that? Keep reading.

Here’s the process:

  1. Identify Core Bottlenecks: Pinpoint the most time-intensive stages of your workflow, such as idea vetting or early-stage concept development. These are the processes where AI can truly make a difference.
  2. Research AI Options: Determine which specific tools best suit each stage. Do you need a generative AI chatbot like ChatGPT for concept refinement, or would AI-integrated tools embedded within existing programs be more effective?
  3. Plan Your Workflow: Map out a clear, step-by-step workflow where AI supports or complements specific tasks, rather than overwhelming them. Define roles, determine handoffs, and establish where human input will enhance AI outputs.
  4. Test and Measure: Conduct time trials and compare productivity metrics before and after integration. Data-driven testing ensures that AI is delivering measurable improvement and justifies further investment.
  5. Train and Refine: Ensure team members understand how and when to leverage AI in each step. Then monitor its impact. If the AI integration fails to deliver meaningful efficiencies, don’t force it—return to the planning phase and refine.

Strategic AI Applications in Product Development

So, what does an AI-enhanced workflow look like in the toy industry? Let’s look at three use cases that illustrate how AI can genuinely enhance team productivity and creativity.

  1. Custom GPTs for Concept Development: I’ve created a custom “Make-It-Toyetic” AI chat bot that helps anyone expand their toy ideas into a full line with a complete in store display. By integrating toyetic principles, this GPT enables creators to refine concepts quickly and align them with established themes. This removes hours of ideation and back-and-forth, providing a sharper starting point for review. Toy companies can create their own custom GPT’s that give focused help on one specific task.
  2. Descript for Video Editing in Pitch Creation: Descript’s AI-based editing features allow your team to cut down time spent on sizzle videos by automating transcription and edit cuts, streamlining video creation. With AI handling the technical side, your team can concentrate on crafting compelling narratives that sell your product.
  3. CastMagic for Multi-Audience Pitching: CastMagic allows teams to repurpose pitches with precision, generating tailored presentations for various audiences with minimal effort. This is invaluable for companies pitching diverse retailers and helps streamline a notoriously time-consuming aspect of product promotion.

Build A Custom AI Workflow For Your Business

AI shines when it’s used to augment human creativity, not replace it. When embedded with purpose, AI becomes an asset, reducing time-intensive tasks, improving accuracy, and enabling teams to focus on high-value activities. But to achieve this, you need to adopt a strategic integration approach—not just plug-and-play.

If you’re ready to build a truly effective AI-enhanced workflow tailored to the demands of your toy business, let’s connect. I specialize in helping teams unlock the real potential of AI, allowing it to drive value in product development, strategy, and beyond.
